Good Morning Members, I'm Brian La Dieu, CMRP and currently the Regional Maintenance Manager for a manufacturing company in NE Mississippi.  I'm looking for input on what is the best, MOST USER FRIENDLY CMMS system available?  What we are currently using is archaic and practically useless.  All comments will be considered.  I need a program that will allow me to layout my maintenance schedule in a calendar format.  I need it to be visually easy to assess information as well as attach appropriate documents to Work Orders.

I am interested in the replies. At a former company we (O&M) used SAP PM for CMMS and other teams used it for other needs. SAP was designed for accounting and has been modified to meet other needs. The company purchased components of SAP a la carte so many functions we wanted were not available. Like buying a truck but not the cargo bed because it is for personnel transportation. When cargo is moved, a trailer is rented. It was clumsy at best and the various modules used by different teams could not communicate so emails and spreadsheets filled the gaps. Whatever you do, do not do that. 

I have used other CMMS however I was with that company for 15 years so any opinion about them is obsolete.

A previous employer used maximo which was user friendly, my current employer uses Oracle which presents as being outdated for the maintenance needs. It gives basic tracking of work orders, completion comments and there is the ability to add attachments upon work order completion.

It would help to know a little more such as how many techs you have? will you have a dedicated analyst? ratio of outsourced/inhouse and if that hard/soft services? number of assets? typical work order volume annually? There are some really great SaaS solutions and there are some great purchases too. Depends on budget and if you want to highly customize or COTS.

I just went through this process for my company and evaluated 10 CMMS's of what I felt were the top in the industry.  We have 16 full manufacturing facilities and 4 warehouses, some with small manufacturing lines.  I have used multiple CMMS systems in the past including some that I included in this review.  The key is to build a decision matrix with all of the things that you need your CMMS to do.  I included things like: annual cost and implementation cost, mobile and offline capable, multi-asset work orders, inventory module and some subjective things like ease of reactive work order entry, and how well the system added parts used on an asset to the asset BOM and how easy is it to look at another site's MRO inventory.  What is important to me might not be important to you. This matrix took the emotion out of the equation and gave me a reason to push back on the hard sellers who tried to get quick, emotion based commitments.  I gave everyone 1 chance to sharpen their pencils and update their quotes, but maintained a set number of technician users across the board.

I then took the top 4 and had all my Maintenance Managers sit through a presentation by the software sales team and vote on their choice.  We had discussion about why each chose what they did and I even changed my mind based on what the team said.  I will tell you that we eventually chose UpKeep, but that is what works best for us.  

I have used SAP and it can be powerful but it is not a user friendly system, I have used multiple interfaces and don't like any of them.  I would never recommend it to anyone, but would use one of the other systems to interface with it (many do that).  You need a system that is simple and easy or your technicians will never use it 100%.  Garbage in = Garbage out.  I have found that mobile platforms are the key and the easier it is for a technician to write a reactive work order the better data you will get to analyze.
