  • 1.  CMMS via SAP

    Posted 03-25-2025 01:45 PM

Hi there, I am at a facility that uses an outdated version of MP2 for the PM scheduling, they do not use the work order module or the inventory control module. The inventory and PO system is accomplished with SAP. My first thought is to move PM scheduling into SAP and initiate the work order system in SAP too.

Can I get feedback on the pro's and con's from present/past users of SAP CMMS.

    Thank you.

    Dan

SAP is very difficult to use, and difficult to setup. You have to learn all sorts of different codes like IW20, IW28, etc. to begin using SAP as a CMMS.

I recommend shopping around for a CMMS that has an SAP Partnership. This is what my company provides at TRACTIAN, and there are a lot of options on the market.

for your use case, the PR/PO Process can be done in any good CMMS, then your CMMS provider can setup integrations to give SAP the data it needs, and even feed it back to your CMMS.

Dont settle, you'll spend 4x more with SAP, it will take longer, and your users will have a very tough time learning it.

Agree that SAP is not the easiest or friendliest to use and there are other interfaces in the market, like Prometheus, that will increase acceptance and shorten the learning curve. As with any transition, take a moment to assess the quality of your master data (taxonomy, asset register, tactics, PM plans, BOMs, etc.), which if not addressed beforehand will create havoc and further delays in the adoption of the new P&S tool.

I agree with the submission that SAP is not the easiest to use. I have also used Prometheus which I think is more user friendly than SAP.

I worked at a company that fully implemented SAP as their CMMS for PMs and Calibrations, not only was it not easy to use and navigate it took a LOT of money to get the functionality to work as needed- and even with that it was still not the best. Shortly after that implementation, the site converted over to Datastream- and while it took some effort to "redo" everything it was so much easier to use, navigate and the technicians liked it way more. The ONLY disadvantage was that the company stayed with SAP as its ERP and with no link between SAP/Datastream visibility was lost to costs. SAP/CMMS allowed PO creation within the work order- Datastream did not. A separate Oracle instance was used to tie costs to Datastream work orders.

We've been using SAP as our CMMS for the 25 years I've been with the company.  The only complaint (in the beginning of my career) I've had in all of that time is that it's not a very intuitive system when you start out.  Other than that, VERY powerful and useful in every maintenance role I've been in.

In reference to PM's, it's all about how much effort you want to put in on the front end.  Routes can be built as simple or as complicated as you'd like with who knows how many options for documentation.  Once built, the routes can be set up to manually or automatically schedule.

Long story short - highly recommended...

Concur with other feedback about using CMMS transition as a chance to update your asset registry.  We see so many adoption of new systems fail due to inaccuracy of data.
