  • 1.  Work flow in Maximo

    I am curious to know what people are using as current work flow for their Asset Managment system, for the approval of work orders and service requests? Does anyone have access to create work orders that do not need to have a service request such as planned shutdown work or things management has discussed?

    Using workflows for your work orders and service requests help guide the work to the right spots. You need to tailor them according to your business processes. Most of the time it is to align the work with the right person group or crews.  it can also be used for approvals and communication between end users and facilities personnel.  

    As far as creating work orders, this can be accomplished without having to do a service request. Again, this is all dependent upon your business processes. Do you have a written procedure for how your work is to be taken in and disseminated through your workforce?  That will be a pivotal part in identifying the right workflows for you.

    My organization employs the service request route for corrective work or process shutdowns. The S/Rs route to the planning group, where it is assigned to subject matter experts to fully vet the request and work with supervision to assign and execute the work via an approved work order. Maintenance has the latitude to create work orders for corrective work identified during PM activity so long as materials are available and the work can be completed during the shift, otherwise, the S/R process is employed. 

    Predefined workflows identifying all of the affected parties is a prerequisite to the above approach. I have gone through several iterations to scale up depending on the work at hand. Exercise caution with granting work order creation as they can get lost in the mix depending on the volume and the various statuses you employ.

    Workflows are mission critical for your overall Work Management process from the initial request for maintenance to the planning and scheduling of that requested work to the actual execution of  the work and finally the recording of the critical information on the actual work that was done. It is best to have a business process that does include a request for services, e.g. work requests or work notifications. However, for emergency work the work request business process is by-passed and only an emergency work order is created. The business process for handling emergencies is one of the most critical business processes a business unit has as it will show the roles that are directly responsible for handling each step of the emergency. 

    So every business situation other than for an emergency should have a service request. This allows for the proper screening of the requested work prior to the creation of a work order. Shutdown work, morning meeting discussions, text messages, smoke signals, etc. where maintenance services are being requested should begin with a service request by the person requesting the service and not be created by a secondary person.

    Terry,

    The only addition I'll offer is:
    1. Emergency work must be added to the system after the fact for the historical record.

    2. Emergency work must stop when the emergency is controlled. Return to service is not the goal in an emergency. The goal is safety and control. When the site is safe, stop work and create a work request to investigate and determine a course of action.  

    Get out of firefighting mode and return to planning and scheduling ASAP.
