    Good day,

    We need to keep track of the PMs that cannot be completed by the scheduled time. We are using a paper form that incudes more than one approval. I am wondering if there is a software that can be customized to our processes to track PM deferrals.

    Jose - one of the solutions from Itus Digital is specifically designed to monitor PM compliance for activities which are designed to mitigate risk for identified failure modes.    In the example below, a monthly lubrication has been prescribed to mitigate a potential bearing failure on a pump.  Actual execution and deferral's are tracked and analyzed and notifications automatically triggered when user defined parameters are met (such as the the 10% interval tolerance discussed on this thread previously).  It is a very practical approach to gain visibility to when PM's designed to mitigate failure modes are not being executed per the asset strategy.

    Hi Jose,
    There are many CMMS software out there that would do this job for you by reporting on your PM schedule compliance and back log. The trick is how sophisticated you want to get and that depends on the size of the business you are managing. Jo showed another example below using Itus digital and there are others such as MEX or Pronto, SAP, etc... With any of these software, you still need to monitor the KPI and have rules within your business to then manage the back log or the over due task. First the visibility, then the how.

    Dear,

    We follow a SAP linked Deferral management process developed inhouse. it generates deferral requests for all PMs not completed within due period. The request are reviewed by Operations and Reliability engineers to fix next possible date.

    This sounds practical. Rather than just tracking overdue PMs that do not get completed by their due date (or with in the determined reasonable time) the system requires the deferral of the PM. I would assume the deferral requests go to Operations?

    Dear,

    The Approval is by Reliability function as well as Operations. And we still keep track of overdue PMs.

    The Purpose of Deferral management process is more towards having risk based decision on extending PM dates.

    All,

    Thank you for your good recommendations. In our case, the PM deferral approval depends on the PM level. In some cases goes to Plant Manager, in other cases goes to Ops and Mtce Manager. The people asking for the deferral has to complete a risk assessment as part of the procedure.

    Jose, you might want to look at Flukes E-Maint. software (CMMS)  They have some demo's available and this might be a good solution to your problem. I know we are looking at buying this software for our manf. plant because of the tracking and scheduling benefits of this software.     Hi Jose, it really depends on what CMMS you are currently using, and what functionality you have available within that platform as I can't imagine you would switch CMMS platforms for just this requirement. An easy option is to use something like SharePoint which most larger companies have access to create a workflow for the deferral request and approval. And then have a (manual) step at the end to update the PM in your CMMS with a status that it has been deferred and potentially set a new due date (if you wanted to go down that route).

    One thing I have seen several companies go down this route and too often they end up spending way too much time on the deferrals and managing the deferrals process than just getting the PMs done. Making deferrals easy is not necessarily a good thing...
